Why owners call us
A busy business can still be losing work quietly.
These are observable symptoms, not a diagnosis. They are worth measuring precisely because they are difficult to judge from inside the business.
Calls and enquiries depend on who happens to answer.
The path an enquiry takes changes with who picks it up, the hour it arrives and how busy the office is that day, so no two are handled quite the same way.
Quotes are sent, but follow-up is inconsistent.
Some are chased twice, some never. Nobody records which.
Job status lives across inboxes, whiteboards and individual memory.
The information exists, in several places that disagree.
The owner cannot get a reliable answer without asking several people.
Questions about the current state of the business are answered by interruption rather than by looking.
What we measure
Seven things, measured against evidence rather than opinion.
Each is assessed from records, observation and documentation.
| Measure | What it covers | Drawn from |
|---|---|---|
| Enquiry capture | Where calls, forms and messages arrive — and whether they enter a usable system. | Phone, form and message logs |
| Response | How quickly and consistently enquiries receive a meaningful response. | Timestamps on enquiries and replies |
| Progression | How opportunities move from enquiry to quote, booking and completed work. | Quote, booking and job records |
| Follow-up | What happens after a quote, a missed call, a postponed job or an unfinished customer decision. | Records, then observed on site |
| Visibility | Whether the owner can see what is happening without relying on memory or chasing staff. | The owner's account, tested against records |
| Workflow | Whether work follows a consistent operating path or changes by person. | Observed on site; documentation where it exists |
| Owner dependence | Which decisions, exceptions and customer issues still require the owner personally. | Owner and staff accounts, checked against records |
Where evidence is missing
It is recorded as unavailable rather than estimated.
How the Diagnostic works
Four stages over ten working days.
Stage 01
Suitability call
A 45-minute discussion to understand the business, review high-level numbers and determine whether the issue appears operational, commercial, or outside our scope. Free, and it may end with us saying the Diagnostic is not appropriate.
Stage 02
Evidence collection
Review of agreed system records, call information, workflow artefacts and operating documentation. Where a record does not exist, the gap is noted rather than filled.
Stage 03
Field observation
Observation of how selected enquiries and jobs actually move through the business. Any test enquiries require written permission first.
Stage 04
Findings
A presentation of what was measured, where evidence was sufficient or missing, what deserves attention first, and what options are available.
Recommendations follow measurement, not the other way around. The Diagnostic is designed to establish what is actually happening first, so that any decision about what to change is made against evidence.
What you receive
A baseline you can act on, with or without us.
- 01A documented operational baseline
- 02Evidence-backed findings
- 03Gaps between expected and observed workflow
- 04Areas where information could not be verified
- 05Priority issues ranked by operational significance
- 06Practical options for acting on the findings
- 07A concise written report, presented in person with time for questions
On evidence
The report separates what was measured from what was observed and what was stated but not verified. Anything we could not confirm is shown as unconfirmed.

What this is not
Measurement before another solution.
We do not begin by selling software.
We do not recommend automation before understanding the workflow.
We do not treat every business problem as a lead-generation problem.
We do not require an implementation engagement afterward.
We do not inflate a finding to justify further work.
We are a small Adelaide practice, not a marketing agency, a software reseller, or an outsourced operations manager.
Price and scope
Operational Diagnostic
Price
$6,500 including GST
- Duration
- Ten working days
- Scope
- Agreed in writing
- Success fee
- None
- Further work
- No obligation
The call is free. The Diagnostic is quoted at a fixed price before anything begins.
Before you commit
The suitability call comes first and costs nothing. It exists so that neither of us starts a paid engagement that should not happen.
Suitability
Who the Diagnostic is for.
It may suit businesses that
- Employ roughly 12–40 people
- Receive substantial inbound customer demand
- Have several people involved between enquiry and completed work
- Are busier than their reporting systems can clearly explain
- Want evidence before committing to a major operational change
It is unlikely to suit
- Sole traders
- Very small teams without an administrative workflow
- Businesses whose main issue is insufficient demand
- Heavily tender-led businesses
- Businesses seeking immediate software installation rather than diagnosis
About
A practical question, asked before spending money on an answer.
Service Flow 360 was founded by Adam Johnson to answer a practical question: before a business buys another system or begins another improvement project, can it clearly show how work is moving today?
Adam's background is in sales, service operations, customer workflow and automation across Australian service businesses, including the solar and energy sector.
Account 01
Nothing on this site is a client result yet. When one is, it will say how it was measured.
Service Flow 360 is a new and deliberately small practice. Every finding in a report is labelled with how it was obtained, so it can be checked rather than taken on trust.
Based in
Adelaide. Directly involved in every engagement.
Questions
Straight answers.
- What happens during the 45-minute call?
- We talk through how the business runs, look at high-level numbers across the last three years, and work out whether what you are seeing looks operational, commercial, or something else. There is no charge and no obligation. If the Diagnostic does not appear appropriate, we will say so on the call.
- What information will you need?
- For the call, high-level figures are enough — revenue direction, staff numbers, roughly how work arrives. If the Diagnostic proceeds, we agree the specific records in advance and put the list in writing before anything starts.
- Will staff be disrupted?
- Minimally, and never without notice. Observation is arranged around your operating day. We will tell your team what we are doing and why before we arrive, in whatever words you prefer.
- Do you install software?
- No. The Diagnostic measures how work moves. It does not include software installation, configuration or licensing, and it does not require you to buy any.
- Do we have to use you for implementation?
- No. The Diagnostic is a standalone engagement. The findings are yours, written so that you or anyone else can act on them.
- What happens if you find no material issue?
- That is a legitimate result and it is reported as one. If the numbers show nothing material, that is what the report will say.
- Is our information confidential?
- Yes. Information you provide is used only for the engagement, is handled under the Privacy Act 1988 (Cth), and is not shared without your written agreement. Confidentiality terms are set out before work begins.
- Why does the Diagnostic cost $6,500?
- It is a defined ten-working-day engagement: a structured evidence review, on-site field observation, analysis, and a written report presented in person. The price is fixed and agreed before commencement, and so is the scope.
- How long does it take?
- Ten working days from commencement to the findings presentation, scheduled around your operating week.
- Do you work outside Adelaide?
- Not at present. Current work is focused on greater Adelaide so that field observation is practical. If you are outside that area, say so and we will tell you honestly whether we can help.
