Privacy policy

We hold two kinds of information: what a business owner tells us about their business, and what they give us about their customers so we can follow up quotes and invoices for them. Both are handled under the Privacy Act 1988 (Cth) and the Australian Privacy Principles. Neither is ever sold.

What we hold, and whose it is

If you own a business

What you type into the form on this site: your name, your email, your phone number, your business name and anything else you choose to tell us. If you go ahead, we also hold what is needed to run the service and invoice you, and on the website plans the content and photos you give us and the details needed to register your domain in your name.

If you are a customer of a business we work for

The business gives us your name, your mobile number or email, what the quote or invoice was for, the amount, the date it was sent or due, and whether it has been paid. We also hold any reply you send to a message. We hold all of it on behalf of that business and for no purpose of our own. You are still their customer, not ours.

Why we hold it

To send the follow-ups the owner approved, to tell the owner each Monday who replied, who paid and who still owes them, and to run and invoice the service. We do not use it for anything else. We never contact an owner's customers about anything other than that owner's quote or invoice, never add them to a list, and never pass them to another business.

Whose it is

An owner's customer list and message history belong to the owner. They can have a copy whenever they ask, and they take it with them if they leave.

The messages

What a customer receives

Only wording the owner approved before anything was sent, and every message names the business it is from. A quote is followed up 2, 5 and 10 days after it was sent, then left alone. An invoice is reminded on its due date, then 7 and 14 days late, then handed back to the owner. Nothing is sent once a quote is answered or an invoice is paid.

How to stop them

Reply. Any reply stops the follow-ups and goes to the business. To stop all messages, reply STOP to a text or use the unsubscribe link in an email. Either takes effect straight away, and in every case within five business days, as the Spam Act 2003 (Cth) requires. You can also tell the business, or email us at [email protected], and we will stop them by hand.

Our own marketing

We do not run a mailing list. If you send us a form you get a reply from a person. Any commercial message we send on our own behalf identifies us and includes a working unsubscribe.

Where it is kept

Where it sits

What you send through the form on this site, customer details, the approved wording, the messages and the replies are all held in the customer-management software we use to send and track them. It is run by a United States company whose systems sit in the United States, so information we hold is stored outside Australia. That software hands each text and email to phone carriers and email providers to deliver it.

Who can see it

The person doing the work, and the providers described above so far as they need to store and deliver it. We share it with no one else except where the law requires.

Logins and access

Setting up follow-up, or building a website, can involve access to an owner's quoting or invoicing software, domain, hosting or site. Any login an owner gives us is used only for that work, stored in a password manager, and removed when the work is done or they ask. A new domain is registered in the owner's name, not ours, even where we look after it for them. Results are never published without the owner's written agreement.

How long we keep it

For as long as the owner is a customer. When an owner leaves, we give them a copy if they ask and delete their customer list and message history within 30 days. An enquiry that goes no further is deleted after 12 months. We keep our own invoices for as long as tax law requires.

If something goes wrong

If information we hold is lost or seen by someone who should not see it, we tell the business concerned as soon as we know, and where the law requires it we tell the people affected and the Office of the Australian Information Commissioner.

Your information

Access and correction

Email [email protected] and we will show you what we hold about you, correct it or delete it. If you are a customer of a business we work for, you can ask them or ask us; either way it is done, and the business is told.

Complaints

Email us first and you will have an answer from a person within 30 days. If the answer does not settle it, you can take it to the Office of the Australian Information Commissioner at oaic.gov.au.
