Guide

Quote follow-up templates, word for word.

The email and the text to send 2, 5 and 10 days after you send a quote, and when to stop. Free to copy and change.

The schedule

Three follow-ups, then stop.

A quote that goes quiet isn't always a no. The customer got busy, the email went to junk, or there's a question they haven't asked. A short follow-up covers all three. Three is enough: after the third, leave it alone.

When each follow-up goes out, counted from the day the quote is sent.
DayWhat it does
2Checks the quote arrived.
5Offers to answer questions or change the quote.
10Closes it off kindly and leaves the door open.

A reply at any point stops the rest. So does a yes by phone, which is why the checks below come before each one.

Day 2

Did it arrive?

Email

Subject: Your quote for [job] Hi [first name], Just checking the quote for [job] came through. I've attached it again in case it went to junk. If you have any questions, reply here or call me on [phone]. Thanks, [your name] [business name]

Text message

Day 5

Any questions?

Email

Subject: Any questions about the [job] quote? Hi [first name], A quote can raise more questions than it answers. If anything isn't clear, or you'd like it done differently or in stages, let me know and I'll rework it. Thanks, [your name]

Text message

Hi [first name], [your name] from [business name] again. Any questions about the [job] quote? Happy to adjust it.

Day 10

Close it off, kindly.

Email

Subject: Closing off the [job] quote Hi [first name], I haven't heard back about [job], so I'll take it the timing isn't right and close the quote off for now. If you'd still like it done, reply to this email and I'll pick it up from here. Thanks for asking us to quote, [your name]

Text message

Hi [first name], [your name] here. I'll close off the [job] quote for now. If you'd still like it done, just reply and I'll sort it.

Before each one

Check before it goes out.

Is the quote still open?Check it hasn't been accepted by phone, by email or in person since the last message. A follow-up to someone who has already said yes makes the business look disorganised.

Is your software already sending one? Some quoting software sends its own follow-ups. If yours does, switch one of them off, or the customer hears from you twice.

Can they reply to it?Send from a number or an address a person reads. A follow-up nobody can answer only adds noise.

Or we run it for you

The checking is the work.

Sending these on a schedule is the easy part; software does it. The work is in the ones where a wrong message would cost you, and in the replies. That is what the follow-up service does: a person checks every message to a new customer and every job over $2,000 before it goes, using wording you approved, and passes every reply on to you.
